The Te Puna Foundation (Te Puna, we, us, our) is committed to protecting your privacy. This privacy policy sets out how we collect, hold, use and disclose your personal information.

The types of information we collect

The types of personal information we collect include:

  • your name and position at your organisation.

  • your contact information, which may include your email address, physical address and/or phone number.

  • information about your interactions with us.

  • photographs at events; and

  • information about those who holds positions with Te Puna (e.g., staff or trustees).

  • any specific requests such as requests to not be contacted via phone or to be excluded from certain mailings, as well as specific information provided, such as motivation for support.

You may choose not to provide your personal information to us, including having your photograph taken at events. Please note that if you do not provide us with some personal information, such as your contact details, we may have difficulty in administering your interaction with us and your donation receipts.

We may also use and track non-personally identifiable information from our official website(s), such as usage and volume statistics for research purposes in order to further develop our website(s).

How we collect the information

We collect personal information from you when you make an application for funding, partner with us, attend an event, make a donation or offer in-kind support or otherwise actively provide us with your personal information.

If you make a donation to us, your details will be recorded in our database, but you will only be contacted if you have opted to hear from us.

Personal details of individuals who sign up for more information via our website(s) are also added to our database.

Individuals attending presentations or events are given the opportunity to elect whether they would like their details added to our database. This will be done via a tick box allowing the individual to ‘Subscribe or Unsubscribe)

We also obtain information about individuals/organisations from other organisations authorised to collect.

How we use that information

We may use your personal information to:

  • process and make decisions on applications for funding.

  • perform any services, or provide any support, we have agreed to provide to you or your organisation, including to deliver any funds.

  • send you our newsletter or other communications including to update you on fundraising activities, ask for support with fundraising activities, conduct surveys etc.

  • acknowledge and receipt donations.

  • inform supporters about upcoming fundraising activities, events, presentations, and other activities of the Te Puna Foundation.

  • meet our reporting obligations under the Charities Act 2005.

  • for our internal activities and record keeping; and

  • for any other purpose indicated at the time of supply of the information to the Te Puna Foundation.

We will not:

  • Hold or retain credit card information

  • Sell our information records under any circumstance

We will use and disclose your personal information only for these purposes or as otherwise authorised by you or required by law.

You have the option to have your name publicly associated with your donation. However, unless you explicitly request to have your name associated with your donation, the default is that all donations are not to be publicly announced and if you request that your donation is to be anonymous, this will be honoured.

When we might disclose your information

We may share your personal information with:

our service providers such as

  • the National Library, who Te Puna Foundation primarily supports

  • the Department of Internal Affairs Charities Services and any other parties to meet our legal obligations under the Charities Act 2005

  • Partners who we are holding joint events with, for invitation purposes.

We will only disclose your personal information to these parties for these purposes or as otherwise authorised by you or required by law.'

How we store that information

All personal information is stored securely in line with standard industry protocols and access is limited to those who strictly require it to carry out the purposes set out in the policy. Donation receipts and other records are retained in accordance with our legal requirements.

Access and Correction of Information
